By using our website, submitting information through our forms, creating an account, connecting Google Calendar, or otherwise using SpaceCoast.food, you agree to the practices described below.

1) Information We Collect

A. Information you provide to us

Depending on how you interact with SpaceCoast.food, you may provide:

  • Contact information, such as name, email address, and phone number
  • Event request details, such as event date, time, address or city, attendance estimates, service window, power or parking notes, compensation model, and other event logistics
  • Messages and communications you send us
  • Vendor information, such as business name, logo, menu, cuisine type, service area, availability notes, and account/profile details
  • Vendor documents, if applicable, such as proof of insurance, licenses, permits, food safety inspections, or other business documentation uploaded to support venue or event consideration

B. Google Calendar information, if you connect Google Calendar

Food truck vendors may choose to connect Google Calendar to SpaceCoast.food for calendar syncing. Connecting Google Calendar is optional.

If a vendor connects Google Calendar, SpaceCoast.food may receive and store information needed to provide calendar syncing, such as:

  • The Google account used for authorization
  • Authorization tokens or related authorization data
  • Selected calendar identifiers
  • SpaceCoast.food booking event details
  • Google Calendar event identifiers created or managed by SpaceCoast.food

SpaceCoast.food requests the following Google Calendar permission:

https://www.googleapis.com/auth/calendar.events

This permission allows SpaceCoast.food to create, update, or remove SpaceCoast.food booking events on the Google Calendar selected by the vendor. This supports food truck operators who use shared business calendars or operational calendars where the person granting access has permission to manage events but may not technically own the calendar.

C. Information collected automatically

When you visit SpaceCoast.food, we and our service providers may automatically collect:

  • IP address and general location, such as city or region
  • Browser type, device type, and operating system
  • Pages visited, time on site, clicks, and referring or exit pages
  • Approximate analytics, traffic, and performance data

This data may be collected through cookies and similar technologies. See Section 6.

D. Leads collected through Meta lead forms

If you submit a request through a Facebook or Instagram lead form, Meta may share the information you submitted with us, such as your name, email address, phone number, and form answers.

2) How We Use Information

We use information to:

  • Respond to inquiries and provide support
  • Route event requests to participating vendors for availability, fit, pricing, and logistics
  • Communicate with you about your request by email, text message, or phone
  • Operate vendor accounts, booking features, lead features, and calendar-sync features
  • Maintain and improve website functionality and user experience
  • Send subscription emails and updates when you opt in
  • Prevent abuse, spam, fraud, or misuse of the service
  • Comply with legal obligations

3) How We Use Google Calendar and Google API Data

If a vendor chooses to connect Google Calendar, SpaceCoast.food uses Google Calendar access to provide calendar-sync functionality related to food truck scheduling.

We may use Google Calendar access to:

  • Connect the vendor's selected Google Calendar to SpaceCoast.food
  • Create confirmed SpaceCoast.food booking events on the connected calendar
  • Update SpaceCoast.food booking events if booking details change
  • Remove or cancel SpaceCoast.food booking events when appropriate
  • Verify calendar sync status and troubleshoot calendar-sync issues

We do not sell Google Calendar data. We do not use Google Calendar data for advertising, retargeting, or unrelated profiling. We do not share Google Calendar data with unrelated third parties.

We may process Google Calendar data through service providers that help us operate SpaceCoast.food, such as hosting, database, security, logging, and infrastructure providers. These providers process information as needed to provide their services to SpaceCoast.food.

SpaceCoast.food's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4) How We Share Information

We do not sell your personal information.

We may share information in the following cases:

A. With vendors for event routing

If you submit an event request, we may share relevant request details with participating vendors so they can evaluate availability, fit, pricing, and logistics. This may include your contact information, event date and time, event address or general location, attendance estimate, service needs, compensation model, and other details you provide.

B. With event organizers or venues

If a vendor is being considered for a venue, corporate site, private event, base location, property, or organizer-managed event, we may share relevant vendor information or documents with the organizer or location contact when reasonably necessary for consideration, approval, access, compliance, or event coordination.

C. With service providers

We may share information with service providers that help us operate SpaceCoast.food, such as providers for:

  • Website hosting and infrastructure
  • Database storage
  • Form processing
  • Email delivery
  • Text messaging or communications
  • Analytics
  • Payments
  • Security, logging, and troubleshooting

These service providers process information on our behalf to provide their services.

D. For legal, safety, or security reasons

We may disclose information if required to comply with law, legal process, or a government request, or if we believe disclosure is necessary to protect the rights, safety, property, or security of SpaceCoast.food, our users, vendors, organizers, or others.

5) Vendor Documents and Organizer Review

If a vendor uploads business documents, such as insurance, licensing, permits, inspections, or other compliance documents:

  • We use these documents to support vendor consideration by venues, locations, event organizers, or other parties that request or require them.
  • Access may be provided to venue managers, location managers, event organizers, or similar parties when relevant to vendor selection, access, or compliance.
  • Vendors are responsible for ensuring their documents are accurate, current, and complete.

6) Cookies and Analytics

We may use cookies and similar technologies to:

  • Understand website performance and improve content
  • Measure traffic sources and usage patterns
  • Maintain basic website functionality
  • Improve the reliability and security of the service

You can control cookies through your browser settings. Disabling cookies may affect some site functionality.

7) Email and Communications

If you subscribe to updates, submit a form, create an account, or otherwise interact with SpaceCoast.food, we may contact you about the service, your request, vendor opportunities, scheduling, account activity, or related updates.

You can unsubscribe from marketing emails using the unsubscribe link in the email or by contacting us. Transactional or service-related messages may still be sent when needed to provide the service.

8) Data Retention

We keep information as long as reasonably needed for the purposes described in this Privacy Policy, including:

  • Responding to requests
  • Routing leads or bookings
  • Maintaining vendor and organizer records
  • Providing calendar-sync functionality
  • Maintaining operational, security, and legal records
  • Preventing abuse, fraud, or misuse

If you request deletion, we will take reasonable steps to remove your information unless we need to retain it for legal, security, operational, or legitimate business reasons.

For Google Calendar sync, authorization tokens and related calendar-sync data are retained as long as needed to provide calendar-sync functionality or maintain related operational records. If you disconnect Google Calendar or revoke access, we will stop using Google Calendar access for future syncing, subject to any retention needed for security, legal, backup, or operational purposes.

9) Your Choices and Rights

Depending on your location and relationship with SpaceCoast.food, you may have the right to:

  • Request access to personal information we hold about you
  • Request correction of inaccurate information
  • Request deletion of your information
  • Opt out of marketing communications
  • Disconnect Google Calendar sync
  • Revoke SpaceCoast.food's access to your Google Account through your Google Account security settings

10) Google Calendar Access Controls

Connecting Google Calendar is optional.

You can revoke SpaceCoast.food's Google Calendar access at any time through your Google Account settings. You may also contact us and request that we disconnect calendar sync for your vendor account.

After access is revoked, SpaceCoast.food will no longer be able to create, update, or remove events through that Google authorization. Previously created calendar events may remain on your calendar unless they are manually removed or otherwise deleted.

11) Children's Privacy

SpaceCoast.food is not intended for children under 13, and we do not knowingly collect personal information from children under 13.

12) Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. These may include access controls, secure service providers, and other measures intended to reduce the risk of unauthorized access, misuse, or disclosure.

However, no online system can be guaranteed to be 100% secure.

13) Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top indicates when changes were made. Continued use of SpaceCoast.food after changes means you accept the updated Privacy Policy.
